Before the end of the winter, we launch a new version of our eCRF platform with multiple improvements. In this blog entry we show you a summary of the most important ones:
- View/Edit eCRF elements control access by profiles
- Data exportation in Native Excel format

View/Edit eCRF elements control access by profiles
In this new version, it is allowed to define through the new View/Edit system of the elements (fields, forms, sections and lists) which profiles are those that can view and/or edit the data of these elements. With this new functionality, elements can be hidden at all levels(Visualization, exportation, queries,..etc) to specific profiles and/or allow them only to be edited.
Data exportation in Native Excel format
We have added the possibility of exporting the data in XLSX format (Excel Native) directly, only select this new option from the dropdown in the data export section of the study.
New queries search filter: “Last reply”
A new filter option has been added in the queries section to be able to select the queries depending on who made the last creation/response/closing action on it. This way, users of the site can use this filter indicating “External User” to get all the queries in which the last action was performed by someone outside the site (user who does not belong to the site), in this way the queries selected would be the ones that are pending to get a response. In a similar way, users who do not belong to sites (ex, monitors) can use this filter using the option “User Site”, to identify all the queries whose last action on them has been made by the staff of the site and therefore has to be reviewed by one of the external users.
New simplified permissions system to define profile access
We have simplified the permissions and their interface to define access profiles, making the process easier, safer and more intuitive. With the new module, the first element to be configured within the profile will be the “Scope of access to records” that will have the following possibilities: All; Groups; Sites; None. Once the scope has been selected, we will proceed to define the actions that the profile can perform on the records within the selected scope in a similar way as previously defined but now with a new simplified user interface. If a user requires access to several different areas/scopes, thanks to the Multi-profile functionality added in the version 2.4 , this can be done in a simple and safe way.
Patient randomization control based on automatic rule conditions
With this new version, you can control which conditions must be met in order to randomize a patient. Determine through an automatic rule the conditions that will block the randomization action of a patient, so that the patient can only be randomized when he/she does not meet the conditions indicated in the automatic rule.
Automatic deletion of associated rules when deleting eCRF elements
One of the most requested improvements from our users. Now deleting a form, a field or a section with multiple forms, with associated automatic rules is possible. The system automatically will eliminate and adjust the eCRF automatic rules, adapting them to the elimination of the selected elements. Now the process of cloning elements and eliminate them when are no longer needed it is much simpler.
Autohiding queries from eCRF deleted fields
In this new version the queries associated with fields that have been removed from the eCRF will no longer be displayed, thus avoiding misunderstandings and confusions of the users, from now on if a field of the eCRF is deleted the queries will no longer be seen associated to that field.
